Title: Senior Manager of Human Resources and Operations

Reports to:  Chief Operating Officer

About the Position:

As part of a shared services team that manages most non-program finance and operating functions, the Senior Manager of Human Resources and Operations will provide support to the Foundation as it carries out its mission. Unbound seeks an experienced professional who is comfortable working on a broad range of tasks and projects, working closely with the Chief Operating Officer.


Key Responsibilities:

Human Resources

  • Provide general and strategic support to Unbound Philanthropy’s Human Resources function
  • Keep up-to-date on updates to employment law, practices, and trends in the US and the UK
  • Manage Unbound’s PEO, including all compensation and benefits
  • Maintain any HRIS or other HR-software in use by Unbound, recommend changes and updates when needed
  • Run payroll, and coordinate with payroll vendors for US and UK offices
  • Manage maintenance and implementation of staff benefits, including user requests, managing provider websites, and data reporting for various filing and census requests
  • Responsible for HR and benefits-related compliance, such as nondiscrimination testing
  • Research and recommend benefit renewals and providers
  • Coordinate and manage the hiring process for any new employees, including on-boarding of new staff
  • Coordinate and manage all off-boarding, including working with IT and vendors as needed
  • Maintain and update all employee personnel files
  • Maintain the employee handbook, updating policies as necessary and helping to communicate them to staff
  • Manage the performance appraisal process, ensuring appraisals are completed on a timely basis
  • Track employee time off
  • Ensure job descriptions are accurate and up-to-date
  • Together with the COO, serve as a resource to staff on HR-related issues
  • Ensure all HR information is handled with a high degree of confidentiality and integrity
  • Support overall office management and manage ad-hoc HR and office projects as needed

Finance and Accounting

  • Assist the COO with various aspects of the month-close process
  • Process all accounts payable and accounts receivable, ensuring that all operating expenses and grant payments are made in a timely manner and are appropriately tracked in the accounting system
  • Enforce any regulatory or compliance requirements around vendor documentation and payment
  • Strictly implement and enforce internal controls and policies
  • Provide support and reporting during the annual audit process
  • Provide support and reporting during the annual budget process
  • Work with the COO to ensure adequate bank balances and cashflow to fund operating and grantmaking activity
  • Work with the COO to manage banking relationships

Grants Management

  • Assist where needed in the grants management process, including preparation of grant agreements, compliance reviews, and audit preparation
  • Work with Grants Management team to ensure quick turnaround for grant payments

Facilities and Office Space

  • Manage the purchase and maintenance of computers and hardware, coordinating with the COO and IT vendors
  • Manage office and liability insurance for US and UK offices
  • Oversee the management of office supplies, furniture, and facilities
  • As needed, support any projects around office renovation, maintenance, or relocation


Candidate Qualifications

Specific Skills:

  • Experience with Microsoft Office Suite (Microsoft Word, Excel, PowerPoint, and Outlook)
  • Experience managing Human Resources at a nonprofit or private foundation
  • Experience managing banking relationships, processing accounts payable, and enforcing internal controls and processes
  • Experience with Intacct
  • Experience with BambooHR or other similar HRIS preferred
